An AI Officer will guide you safely through the AI Act

1. AI in Everyday Life - and suddenly at the Heart of the Law

Artificial intelligence has long been part of everyday working life in small and medium-sized enterprises. Whether in human resources, marketing, or customer communications, tools with AI components are often already part of the software used today without anyone even noticing. However, what is practical also comes with responsibility: With the European AI Regulation (EU AI Act) coming into force in August 2024, binding rules for the use of AI in companies will apply for the first time.
These requirements do not only affect large corporations. SMEs must also ensure that their systems are used in compliance with the law. New obligations must be observed, particularly where AI makes automated decisions – for example, in application procedures, in the evaluation of customer inquiries, or in the use of generative language models: Employees must be trained, processes documented, risks assessed, and an overview of all AI systems in the company created.

2. Why SMEs in particular need an AI Officer

Many SMEs face the challenge of implementing these requirements with limited resources. Often, it is not a lack of will that is the problem, but rather a lack of time, expertise, and capacity. This is precisely where the role of an AI compliance officer can provide significant relief.
Small and medium-sized enterprises are not obliged to appoint an AI officer – but the recommendation to do so is obvious and sensible in view of the new requirements. And for good reason: the AI officer is the central point of contact who brings together technology, law, organization, and ethics. They ensure that all AI applications in the company are known, correctly evaluated, and used responsibly. Especially in SMEs, where many tasks are distributed among a few people, a clear contact person for AI compliance creates structure, security, and clarity.

3. What does an AI Compliance Officer actually do?

The officer ensures that an overview of the AI tools used is maintained and that each application is subjected to a risk assessment where necessary. Training courses are organized, processes for approvals and human control instances are established, and documentation requirements are fulfilled.
In short, the AI officer helps translate legal requirements into everyday practice in a way that is understandable, practical, and tailored to the company. This is not just a matter of regulatory compliance, but also of trust: trust in the technology, in the company, and, last but not least, in the decisions made on the basis of AI.

4. If it's not possible internally: Buy in Expertise externally

It is not always realistic for small and medium-sized companies to create such a position internally. It requires legal knowledge, a basic technical understanding, and strong communication skills to mediate between management, IT, data protection, and specialist departments. That is why we offer the option of filling this role externally—pragmatically, efficiently, and tailored precisely to your needs.

We support you in identifying the AI systems in your company, assessing risks, implementing training, and designing all legally required steps in such a way that they work in everyday life. The best part is that we consider data protection, information security, and AI compliance as a single entity—and bring the expertise with us.

5. Conclusion: Compliance is not a Luxury—it is a Way to secure the Future

The use of AI is not a passing trend, but part of the digital reality – even for SMEs. Those who act with foresight now will not only protect themselves from regulatory risks, but also gain a clear competitive advantage. An AI officer is not a stumbling block, but the navigation system for your AI journey – they show you the safe way through the requirements without slowing down innovation.
If you need support, we are happy to be at your side. Whether on an ad hoc or permanent basis, together we will make your AI strategy compliant. And thus future-proof.
