Digitally capture tenant data instead of transferring it manually

A real estate company wanted to collect prospective tenant data without paper forms. With a digital tenant questionnaire, prospective tenants enter their data themselves online. Information is checked immediately and is available to the company right away for data-based decisions.

Initial Situation

The customer wanted to digitize internal processes related to the collection of tenant data and reduce paper-based workflows. Information from prospective tenants was not available in a fully digital format and had to be transferred manually by employees.

The goal was to simplify data collection and enable more efficient, paperless processing.

Challenge
Tenant data was not fully captured digitally and had to be digitized manually by employees.

Operational Added Value
Prospective tenants enter their data digitally themselves; information is automatically validated and immediately available.

Procedure

The digital tenant questionnaire enabled the completely digital recording of data from prospective tenants. Prospective tenants enter their information online themselves, and the details are checked and validated immediately.

The recorded data is stored digitally and is then available without any additional manual transfer. The implementation also had to take into account the customer’s technical requirements, such as a firewall that only allows outgoing data traffic.

Effect in Operation

Tenant data is now recorded digitally directly, rather than being transferred retrospectively by employees.

The information is immediately available in a structured form and can be used to make decisions when selecting tenants. At the same time, this reduces the effort involved in paper-based processes and manual data entry.
